Special Service for GroupsTitle: Administrative Assistant/ MIS Biller Division: Weber Community CenterFLSA: Full Time Supervisor: Facilities/Community CoordinatorPay Range or Rate: TBASummaryUnder the direction of the Facilitates Coordinator Assistant staff will conduct office details by performing a wide variety of clerical activities including administrative support and program coordination of activities in order to meet program and fiscal requirements as set forth in various contracts. S/he will assist in the coordination of office operations, administrative activities, phone management, data entry, record keeping, and other related work as required. S/he will interact with project collaborators, accountant(s), project and division directors and managers, administrative staff, outside funders as well as community groups.Essential FunctionsThe Administrative Assistant will provide division wide administrative support such as but not limited to: copy and fax, retrieve voice messages and return calls; combine and arrange materials from different sources; create documents; coordinate with paid and non-paid partners; prepare check requests; schedule client appointments; process screening applications; make and answer telephone calls, interview and secure information from callers; greet and receive clients; retrieve and respond to voice messages; write letters in accordance with oral and written directions; assist in maintenance of the schedule of the division directors; assist in handling conference and travel arrangements for director and staff; perform general office/clerical work including use of processor, spreadsheet and database applications; make agency deliveries as needed; and conduct internet research as necessary. S/he will classify, sort and file correspondence and record material; keep program, department and agency forms up to date; prepare materials for and operate copier and other office machines; coordinate meetings, training, and other group sessions; and coordinate services and program linkage as needed. The Administrative Assistant will participate in all mandatory program and division meetings and trainings, as assigned by his/her supervisor and division director.Secondary FunctionsPerform other duties as assigned by the Director of Operations, Division Director and other management staff.Minimum Qualifications – Knowledge, Skills and Abilities RequiredMinimum of one year experience in administration, clerical support, receptionist, or related field.Proficiency in Microsoft Word, PowerPoint, Excel and Internet.Knowledge of basic filing system structure, ability to organize and manage multiple priorities.Ability to do concise documentation and effectively communicate in written and verbal form.Ability to work with clients from diverse cultural, ethnic and socio-economic backgrounds.Neat and professional appearance.Valid California driver’s license, current proof of auto insurance, and reliable transportation required.Ability to work with clients from diverse cultural, ethnic, and socio-economic backgrounds.Verification of employment eligibility and background clearance required.TB test requiredRegular attendance required.Non-Essential Qualifications – Knowledge, Skills and AbilitiesBilingual preferredAbility to work evenings, overtime, weekends, and holidays when required.Environmental Conditions (Working Conditions)This position is responsible to work in “client friendly” environments. Local automobile travel may be required.
