Marketing Communications Admin Coordinator (1 year contract)

The role of a Marketing Communications Admin Coordinator will be to provide a strong and efficient administrative support to marketing and communications activities according to the collection calendar.
Job Purpose & Key Responsibilities:
1. Start to Finish Packing & Logistics Arrangements
Client and Press Communication Tools & Gifts
Including but not limited to collection brochures, gifts, cards, press kits, show collector boxes
Manage and execute requisition, retrieval, packing and delivery according to calendar and internal guidelines to ensure timely deliveries
Order placing, requisition from warehouse, sorting, labelling, manage receipt listing and updates, courier and/or mailing house liaison
Vetting and coordination of information completion for all tools e.g. brochure price list
Maintain a clear and accurate inventory of all tools and gifts in various locations e.g. warehouse, office, florist, mailing house, wine and champagne distributor
Provide event administrative support to the team including but not limited to following up and liaising with vendors to ensure execution quality
Client and Press Pampering Arrangement and Support
Support the sourcing, planning and execution of client pampering occasions e.g. birthday, special occasion, ad hoc requests etc.
Sourcing, reservations, transport arrangements, follow up
Manage and maintain a list of go-to and notable restaurants, vendors
Fashion Press Loan Receival and Packing
Packing and unpacking, labelling, stock taking, checking, sorting, cleaning
2. Data Integrity and Reporting
Support data validation, perform user acceptance testing and feedback, coordinate with internal stakeholders and external agency for the final implementation of Pioneer, Online Appointment Booking, iCoco 2.0
Research and consolidate competitor and notable Fashion, WFJ and luxury industry orchestrations and activities with a focus on events, gifting, client engagements for reports
3. Financial administrations
Manage all purchase requisitions from start to finish: Vendor creation, PRO creation and amendments, packing slip confirmations and billing follow up
Ensure consistent and up to date documentation of all expenses to support budget synchronization
Person Specifications
The ideal candidate should be discrete, trust-worthy, detail-oriented, meticulous, organized and possess strong coordination skills, with at least 1 year work experience preferably in similar capacity. This position will require the individual to be able to multi-task and time manage effectively across multiple tasks to support overlapping projects for smooth and timely executions.

Proactive problem-solving skills and ability and a collaborative team-player
Efficient time management skills with the ability to juggle priorities and multiple projects
Preferably university graduate
Good skills in Microsoft office (Excel, power point)
Fast learner, self-starter and highly self-motivated, creative and able to think out of the box
