Overview

Arrange transportation and hotel accommodations for corporate travel and potential candidates.

Responsibilities

Arrange air transportation and ground transportation for crewmembers and designated department in addition, monitor individual queues.
Ensure usage of lowest airfare by comparing contracted and published commercial rates.
Verify the possible use of Atlas/Polar aircraft to or alternate transportation for crews to/from their starting and ending points.
Verify accuracy of travel arrangements, correct usage of contracted rates, and max edits.
Queues the record Travel Management Company, ensure proper ticketing procedures for timely delivery to the crewmember.
Run reports, input data in HOTAC for hotel bookings as well as coordinate with hotels on new bookings, adjustment and cancellations.
Research alternate acceptable properties, making booking, change pattern to reflect new hotel and advise crewmembers as situations arise.
Make arrangements via the internet, SABRE or with an airline directly according to airline procedures when able to make use of free or reduce rate tickets.
Able to work in a high call volume environment.
Draw logical conclusions and act quickly to resolve problems while maintaining a professional demeanor.
Understand and abide by all rules relating to legal rest periods for crewmembers as stated in the Collective Bargaining Agreement, FCPM and other relative contracts.
Maintain various databases including internet bookings, ground transportation and authorization logs.
Evaluate the Immigration Control Report to ensure commercial tickets have been booked and/or Australian visas processed, based on crew patterns as scheduled to facilitate proper immigration processing.
Evaluate the risk presented on the Gateway Report and ensure that gateway tickets are booked and issued in a timely manner.
Review the Ticket Audit report to look for opportunities to void/refund tickets that are no longer needed. For high cost tickets greater than $5,000.00, look for alternate travel arrangements.
Review the Graphical Report and work with Crew Planning in an effort to mitigate costs by combining limos, eliminating commercial deadhead flights by usage of company aircraft.
Escalate any potential delays and inaccessible ticket bookings to Lead Travel Coordinator.
Assist in the development and revision, as necessary, of departmental policies and procedures; ensure all Crew personnel are aware of all protocol and/or changes as they occur.
Ability to work with minimal supervision as well as work in a team environment.
Ensure Hotel and Ground transportation is arranged for Cold and Hot Spares

Qualifications

At least two (2) years’ reservations experience- airline, hotel or travel agency experience.
Experience in Global Distribution Systems (AMEDIUS/APPOLLO/SABRE) is a plus
Proficient in Microsoft Office Suite
Ability to work under stress and to prioritize workload while handling multiple tasks.
Must have a comprehensive understanding of all negotiated air contracts and Company Corporate Policies.
International ticket booking experience.
Possess good organizational skills.
Excellent customer service and interpersonal skills.
Detailed knowledge of world geography as it relates to aircraft movements and crew positioning/ depositioning to and from flights.
Must demonstrate maturity and desire to support the operation in a fast paced environment
Must possess knowledge of airline scheduling software. Proven track record in performing Travel duties and responsibilities for (3) years
